The ministry of the Church Administrator is to participate as an executive assistant to the Pastor(s) to serve the congregation and the community.
Qualifications for this ministry include:

Responsibilities for the work of the Church Administrator:
•Maintain regular office hours. Unlock the church and have it open four days out of the week.
•Minister to visitors and callers, handle their inquiries and direct them to the appropriate people/groups according to their needs.
•Maintain confidentiality.
•Pick up mail at the post office: open, read and distribute incoming mail and other materials. Also check the mailbox at the entrance of the church drive.
•Answer the phone and check voicemails, give information to callers, take and return messages.
•Check email and respond as appropriate.
•Attend monthly worship committee meetings to gather information for the bulletins.
•Create weekly bulletins and coordinate with the Pastor(s), Missions, Leadership, Flowers, etc. to ensure the bulletin is accurate each week.
•Create any additional inserts for the bulletin to encourage communication with the parishioners.
•Work with the Trustees to schedule building maintenance/church rekeying.
•Be available to fire, elevator, boiler, range hood inspection visits.
•Create meeting notices to send out to the congregation for choir practices, volunteer opportunities, etc.
•Collect donations throughout the week and give to the financial secretaries.
•Keep the official church calendar: maintain scheduling and event calendars.
•Work with Red Cross to schedule blood drives in the FLC.
•Work with the church bookkeeper to ensure that those employees receiving checks have been paid in a timely manner.
•Work with the church bookkeeper to tackle issues having to do with taxes or help problem solve bookkeeping issues.
•Coordinate with treasurer or with other signers to sign checks.
•Oversee the payroll for all staff, including assigning direct deposit transactions.
•Oversee and maintain bank accounts and make transfers as requested by the bookkeeper or the Finance Committee chair.
•Be available to work with the bank and provide them with letters to add accounts and add users/signers.
•Work with the accountant to provide them with whatever information they have requested.
•Be available to open/lock-up the church for outside groups who have reserved it. (Several times a month.)
•Attend Leadership Council meetings each month and prepare meeting minutes.
•Prepare the Powerpoint presentation each week for Sunday morning and load onto the computer in the sanctuary.
•Prepare the leadership worksheets for Sunday morning and distribute pertinent information to the Pastor, organist, lay leader, etc. to ensure the morning goes smoothly.
•Monitor social media and create Facebook posts to share the word about different events occurring at the church as well as details about the Sunday sermon.
•Update outdoor sign.
•Work with churches in the community to host Ash Wednesday, Maundy Thursday, National Day of Prayer services, etc. This may mean additional meetings and coordination to ensure the music, A/V etc is covered for each event.
•Prepare end-of-quarter and end-of-year giving reports for distribution to the congregation.
•Serve as Membership secretary: Record and track membership in computer data system and quarterly update a hard copy of all membership records; quarterly keep off-site electronic back-up.
•Monitor and order office supplies.
•Work with church janitor to coordinate church schedules.
Additional skills that would be helpful:
•Working knowledge of Microsoft Office suite applications.
•Creative writing abilities to enhance written office communications, either via web- site, hardy copy newsletter, or other means.
•Supervising staff, this involves the ability to delegate and oversee projects or various responsibilities related to communication and membership responsibilities.
•Experience with technical aspects of office infrastructure: for example, networks, wireless internet connections, copy equipment, office telephone systems, etc.
